Terms and conditions

When booking accommodation with OWL VALLEY GLAMPING, you are agreeing to enter into a binding contract with us.

References to 'us' and 'we' in these conditions relate to Owl Valley Glamping and references to 'you and 'your' relate to the person making the booking and all members of that persons party. When we email confirmation of a reservation to you, we enter into a contract with you, which is subject to these booking conditions.

Owl valley glamping accept no liability for loss or damage to possessions and/or personal injury. In making this booking you are accepting full responsibility for yourself, your booking party, your children, you are agreeing to abide by our Terms and Conditions.

Booking Conditions
Bookings can be made via this website, email or telephone directly to us and we will send your booking confirmation via email (or post if you prefer). Please contact us if you do not receive this. Please check your Booking Confirmation and notify us of any errors immediately.

Telephone, email or online bookings remain provisional until we have received your cleared deposit/full payment. Once payment is cleared you will receive email confirmation of your booking. Provisional bookings are held for 7 days, unless they are within a month of the letting time, in which case they will be held for 48hrs.

Bookings are non-transferable (All guests names must be on the booking form)

You must be over 18yrs old to make a booking with Owl valley glamping.

The Bell Tents/cabin are let for holiday use only, for the time specified.

A deposit of £75.00/unit is required on booking via email or telephone, the total amount is payable 4 weeks before your stay with us. We will not be sending reminders.


Cancellation policy

Cancellation or Changes by YOU: It is essential that you let us know as soon as possible if you need to cancel or change your booking. Please telephone us and then confirm in writing (not email).

We would always endeavour to re-book your tent/cabin in the event of cancellation and return your payment in full.
If we are unable to do so the following would apply:-

Cancellation 4 weeks or more prior to booking 50% of payment refunded


Cancellation 4 - 2 weeks prior to booking 25% of payment refunded.


Cancellation up to 2 weeks prior to booking no refund applicable.

Cancellation or Changes by US: Once we have issued you with a confirmation, we will do our very best not to make any changes or cancellations to your booking. Sometimes changes do occur before or after bookings have been confirmed and very occasionally confirmed bookings have to be changed or cancelled. We promise to do all we can to avoid changes and cancellations but must reserve the right to do so.

The number of people using the Bell Tents/cabin may not exceed the number agreed when booking.


Arrival and Departure
Arrival times for Bell Tents/cabin are between 2:00 pm and 9:00 pm. The Bell Tents and Cabin must be vacated by 10.00 am on the departure date. Alternative times can occasionally be arranged on request. Please do ring if you have any questions. Please let us know if you expect to arrive late or are delayed.
If you do not contact us and you have not arrived by noon on the day following the booking start date we will treat your booking as having been cancelled by you and you will not be entitled to any refund.


For your safety on our glamping site
Owl valley has been run for many years as a private nature reserve. In order to keep this beautiful valley as natural as possible we have tried to make as little impact as we can, therefore there are no safety barriers around our pond, (pond dipping is allowed, however, the pond is seasonal as it is fed by a natural source) or along the stream. There are steep banks, uneven ground and steps and also a stream running along side the glamping area. The Weather is unpredictable (as we all know) in this country, so conditions may well be wet and slippery or dry and hard. We would recommend suitable clothes and footwear for all weathers, which will enable you to enjoy our valley. Adults are responsible for their own safety and that of any children in their care.

Please also note it is VERY dark at night and a good torch is a must, we will have some to borrow
(subject to a £10 deposit) if you forget.

As a nature reserve their are many creatures living here,
some very interesting butterflies moths, dragon flies, and Bees. Wasps, spiders ants plus lots more, any of which may enter your tent, (they are equipped with mosquito nets on doors and windows.) This must be expected at certain times of the year.

We also have foxes badgers and deer, so please do not leave any food out.

By booking with Owl Valley Glamping you are acknowledging that you are aware of the risks, hazards and dangers of entering our glamping site and that you will do so at your own risk.

We Owl valley glamping reserve the right to close the campsite in extreme or dangerous weather conditions. The decision to do this is entirely at our discretion.


Travel Insurance
We recommend insurance to cover cancellation, loss, damage or injury. As a small business we are not able to act as your insurers and re-arrange your stay due to your changes in personal circumstances.

Car Parks
The Car park is located away from the tents/cabin and is about a five minute walk, We do not allow cars near the tents/cabin. The only vehicles allowed on site are for staff only.

All cars, vehicles, motorbikes, bikes or other are parked at their owners risk, Owl valley glamping accepts no liability for damage to or loss from said vehicles.

We will be on hand to help you and your belongings get down to your Bell tent/cabin on arrival.

Pets
We regret that we cannot permit pets to our glamping site.

During your stay
You are agreeing to look after the tents and fixtures and fittings of the campsite and agree to leave the tent/cabin and facilities clean and tidy. It is a condition of your stay that you wash all cooking equipment and dishes used during your stay.
We will bill you for any serious breakages or damage, You may also be charged if the tents/cabin are left in an untidy/unclean condition. For group bookings we require £100.00 damage deposit returnable at the end of your stay if all is well.

Also we would ask that you do not cross the stream to the other side as you would then be trespassing on our neighbour’s property.

PLEASE do not collect wood from the campsite, many of the piles of logs/twigs you will see are left for the wildlife ie insects, butterflies and hedgehogs and our major wish is to help not destroy their habitat. We would also ask that you respect the flora and fauna i.e please do not pick the flowers, trample them or damage trees etc.

No smoking is allowed within the tents/cabin or Steve' Shack, there are ashtrays provided outside. We politely ask that you use them, and do not throw ends on the ground as it is unsightly/nonbiodegradable and a HUGE fire risk! You are also not allowed to do any cooking inside your tent.

Owl valley glamping or any staff shall not be liable for any loss or damage to visitor's property, however caused. We accept no liability for injury sustained to any party whilst on our campsite.

Noise and Behaviour
We ask that you show consideration to other guests and staff, offensive and/or dangerous behaviour may result in the removal of you and/or persons in your party from the campsite. If (I'm sure it won't) this happens your booking would be forfeit, i.e you would not be entitled to any refund.

We really want you to have a relaxed and enjoyable camping experience with us. With this in mind we are not adverse to music in the valley. However we would again ask that you respect your fellow campers, our local neighbours and of course our resident wildlife. The level of noise is at our discretion and we will ask you to turn it down or off if need be. There will be a Low noise policy after 9pm.


Wood fired Hot Tub Use IMPORTANT INFORMATION

As the lead guest, you are accepting this acknowledgement and disclaimer on behalf of each member of your party and will ensure each member of your party is aware of and strictly adheres to the guidelines set out below when using the hot tub.
Yourself and all members of your party hereby agree to ensure that any children in your care, or associated with your party are supervised at all times when they are in the vicinity of the hot tub. Extreme caution must be taken to ensure that no child under five years of age is permitted to enter the hot tub at any time. Any children over five years of age and under 16 years of age using the Hot Tub or near the Hot Tub are closely supervised at all times. The nature of the wood burning Hot Tub mean extra care is needed due to hot surfaces, real fires and chimneys.
All members of your party and yourself as lead guest understand and agree that:
. Children should not go near the hot tub without adult supervision and should never be left unattended in or near the hot tub.
. Always enter and exit the hot tub slowly, as the plastic surface of the vat may be slippery.
. Never jump in the hot tub or subject it to other unintended loads, as this may cause personal injury as well as damage to the hot tub.
· A wood fired hot tub needs extra caution due to the natural, unregulated way the water is heated. It is essential to test the water temperature before entering. A cold water hose is available next to the hot tub. Recommended temperature 37.5 degrees.
· The use of drugs, alcohol and some medications before or during use of the hot tub may lead to unconsciousness with the possibility of drowning and can greatly increase the risk of fatal hyperthermia.
· Glass items are strictly prohibited from use in the hot tub.
· No member of your party may use the hot tub without prior consultation with a doctor if he/she is obese or has a medical history of heart disease, low or high blood pressure, circulatory system problems or diabetes.
· Some medications may induce drowsiness and others may affect heart rate, blood pressure and circulation. If any member of your party has recently taken or is currently taking any medication, he/she will consult a doctor before using the hot tub.
· No member of your party may use the hot tub is he/she has an infectious disease or has any open sores and/or wounds due to the possibility of spreading infection.
· No member of your party may use the hot tub if she is pregnant or potentially pregnant without prior consultation with a doctor.
· Prolonged immersion in the hot tub may be hazardous to health.
· The hot tub must not be used immediately after strenuous exercise.
· All members of your party will shower both before and after using the hot tub.
· Owl Valley Glamping reserve the right to charge a cleaning fee of £50 should the hot tub require deep cleaning during your stay due to non-showering, drink, food and other debris.
· Under no circumstances should the cover of the hot tub be removed by yourself or any member of your party when it is not in use.
· Under no circumstances should any member of your party release water from the hot tub during your stay.
Please contact a member of staff at Owl Valley Glamping to arrange a time for the hot tub to be set up for you daily. Please remember that this is a time lengthy process (3 hours +), however, we will endeavour to meet your requirements
All members of my party and I accept and acknowledge that risks and injury may be caused or increased by our own acts, omission, negligence or failure to follow any guidelines provided to us and Owl Valley Glamping shall not be liable in such circumstances. We also accept and acknowledge that we will be held responsible and incur charges for the full damage to the Hot Tub and/or Lid which occurs during our stay.
Owl Valley Glamping accepts no responsibility for any direct or indirect loss, damage or injury suffered or incurred by any person using the Hot Tub.
By placing a booking you agree to be bound by these terms and conditions.

WE SUPPORT THE COUNTRYSIDE CODE (and ask all our guests to do the same!)
Respect other people.
Consider the local community and other people enjoying the outdoors.
Leave gates and property as you find them, and follow paths unless wider access is available.
Protect the natural environment.
Leave no trace of your visit and take your litter home.
Enjoy the outdoors.
Plan ahead and be prepared
Follow advice and local signs.


We hope our terms are not too onerous. Really, they are just common sense! We know you will love and respect our valley, and that you will have a wonderful stay with us. If you do have any problems, then please do tell us as soon as possible so that we can try and resolve them for you. We are always about and happy to help!
